Review billable and non-billable time, utilization, and billable value by staff members

The Time Logged by Staff User report summarizes time activity for each staff member during a selected report period. Use it to compare billable and non-billable hours, review utilization, understand the billable value of recorded time, and access the underlying time entries for an individual user.

Important: Total Billable Amount represents the value of billable time at the applicable bill rates. It is not the same as invoiced revenue, collections, or cash received. 




Run the report

  1. Open the report. Open Time Logged by Staff User from the Reports area.
  2. Choose the Report Period. Select a preset period, such as Last 30 Days, or another available date range.
  3. Run the report. Select Run Report. The results page displays the exact start and end dates in the report title.

Select the Report Period, then run the report.


Filter the report

Use the filter icon on the results page to narrow the report. For search-based filters, choose a condition such as Includes and then select one or more values. Select Search to apply the criteria.

Filters visible in the report include:

  • Client(s)
  • Client Label(s)
  • Industry Type(s)
  • Engagement(s)
  • Workflow(s)
  • Client Status
  • Client Type
  • Additional Workflow selection

The filter panel is scrollable, so additional selections may appear below the portion currently visible. The filters work together with the Report Period to determine which time entries are included.



Understand the report columns

Column

What it means

User

The staff member whose time entries are included in the selected period and filters.

Billable Time

Total time marked billable for the staff user. Time is displayed in hours and minutes (HH:MM).

Non-Billable Time

Total time marked non-billable for the staff user.

Total Hours

Billable Time plus Non-Billable Time.

Total Billable Amount

The value of billable time, calculated by multiplying each billable time entry by its applicable bill rate and summing the results.

Utilization (%)

Billable Time divided by Total Hours, expressed as a percentage.

Calculations: Total Hours = Billable Time + Non-Billable Time. Utilization = Billable Time ÷ Total Hours × 100. Total Billable Amount = the sum of each billable entry multiplied by its applicable bill rate.

Grand Total

The Grand Total row aggregates Billable Time, Non-Billable Time, Total Hours, and Total Billable Amount for all staff included in the report. Grand Total Utilization is calculated from the aggregated billable and total hours; it is not a simple average of each user’s utilization percentage.


Review the underlying time entries

Select a staff user row to open the time entries behind that user’s totals. The detail view uses the same report period and filters, allowing you to validate the entries that contributed to billable time, non-billable time, billable amount, and utilization.

How to use this report

  • Compare billable and non-billable effort across staff members.
  • Identify users whose utilization is materially different from the rest of the team, then review the underlying entries for context.
  • Review the billable value of time recorded during the selected period.
  • Validate that time was classified correctly before using it in management or performance discussions.

Important interpretation notes

  • Hours may exceed 24. Time values use an hours:minutes format and accumulate across the entire report period.
  • Utilization needs context. Non-billable time may include administration, training, internal initiatives, leave, or other valid activities.
  • Billable value is not revenue. The report values billable time at bill rates; invoicing, write-ups or write-downs, collections, and realization are measured elsewhere.


Frequently asked questions

Why is Grand Total Utilization different from the average of the percentages shown?

Grand Total Utilization is weighted by hours: total billable time for all included users divided by their combined total hours.
